My Tasks and All Tasks are two lists of the same tasks. Both use the same table.
The list is a way of looking at work, not a second copy of it. Filters, columns, and saved views change what you see. Completing, editing, and bulk edit change the tasks. Rest mode can show you one task at a time; the others wait in the backlog, untouched.
On mobile web, My Tasks stays in list view only. See Mobile web and apps.
My Tasks and All Tasks
My Tasks is in the sidebar. A task is on it when any of these is true:
- It is assigned to you.
- You are a collaborator.
- You created it and it has no assignee.
The Assigned To chip adds a fourth set: tasks you created and assigned to someone else. That chip is how you watch work you handed off. See Saved views, filters, and columns.
All Tasks is wider, and it spans the workspaces you belong to. It includes workspace-visible tasks, plus private tasks you own, are assigned to, or collaborate on. A task still belongs to one workspace. On desktop, the sidebar row All projects opens this page. On mobile, More → All tasks.
A private task someone else owns, that you are not assigned to and do not collaborate on, stays off All Tasks. Visibility is set per task. See Task details.
List, board, and calendar
On desktop, the view switcher is List, Boards, Calendar, and Notes.
| View | What it's for |
|---|---|
| List | Columns, sort, filters, saved views, bulk edit |
| Boards | Status columns. Drag a card to change status. See The task board |
| Calendar | Due dates and recurring occurrences by day. This is the task calendar, not the Calendar page |
| Notes | Project notes. See Projects |
Focus mode and a team hub embedded in the page stay on the list.
Creating and editing tasks
- Use + Add Task at the bottom of the table, or Add task when the list is empty.
- Type the title in the row. Draft rows stay pinned until you add a title or a due date, which is useful when you want to set recurrence first.
- Click the title once, with a brief pause, to open task details. Double-click the title to edit it in place.
- Use Task details on the row (the panel icon) to open the drawer directly.
- Press Tab to move across editable cells. Tab skips Created by, Date Created, and Pushes — those are read-only.
A new task can inherit defaults from the filters you have on, so a list filtered to one project often creates the task in that project.
Editing cells
Click a cell to change it. The fields you can edit in the list:
| Column | What you set |
|---|---|
| Status | An existing status, or Create new. On a custom status, choose Private (only you) or Shared (the workspace). The same statuses are the columns on the board |
| Due Date | The day. Open the repeat control on the date to set a recurring schedule |
| Project | One project |
| Assignees | Who it's assigned to |
| Collaborators | Show the column from Columns first. People who follow the task |
| Priority | Low, Medium, or High |
| Effort | Light, Moderate, or Heavy — how heavy the task feels, separate from priority |
| Tags | Labels that cut across projects |
| Visibility | Private, or a workspace name |
Tags are labels that cut across projects — "waiting on client", "quick win". Click the Tags cell, or Add tags… in task details. Type a tag and press Enter, or separate several with commas. Suggestions come from tags the workspace has used before. A task has one project and any number of tags. Use a project when you would filter or focus a body of work; use a tag when the label cuts across projects. See Projects.
Pushes
Pushes counts how many times a non-recurring due date has moved to a later day. Moving it earlier, clearing it, or completing the task does not add a push. Recurring tasks are not counted. You don't edit the number. The drawer shows the same count as Pushed N×.
The count is a signal, not a verdict. A task you keep sliding is telling you the date was a wish, the task is blocked, or it should leave the list. Pushes is hidden until you turn the column on. Then click the header to sort. See Saved views, filters, and columns.
If an edit would move the row out of the list you're looking at — a new due date that no longer matches Today, for example — Onward shows a short notice on the row. The task is still there; the filter is why you might not see it after.
Completing tasks
Use the circle checkbox on the left of the title.
- A normal task moves to completed. Uncheck it, or change Status, to reopen it.
- A recurring task completes for that occurrence only. The series continues.
- When every subtask is complete, Onward may ask if you want to complete the parent. Confirm or dismiss.
Completed tasks leave the open list. Turn on the Completed chip to see them. See Saved views, filters, and columns.
Deleting a task
Delete task (the trash icon on the row) asks you to confirm. With one row focused, Delete or Backspace does the same.
To delete many at once, select them and use Delete selected. See Bulk edit tasks.
Reordering rows
When no sort is active and you are not in bulk selection, drag the Reorder grip to set the order inside the group. Turn a column sort on and the grip steps aside — the sort is the order.
Comments
Comments on the row opens the thread. Counts on the row update when comments are added or removed. How to write, reply, mention, and record voice comments: Task comments.
Task calendar view
Calendar on My Tasks is a calendar of your tasks, grouped by due date.
- Add task on a day creates a task due that day.
- Drag a task to another day to change its due date.
- Click a task to open details or comments.
The Calendar item in the sidebar is a different screen: your day, Google events, focus blocks, and breaks. See Calendar.
Keyboard
On the desktop list:
| Key | Action |
|---|---|
| Tab | Next editable cell |
| Shift+↑ / Shift+↓ | Extend the selection |
| Escape | Clear the selection |
| Delete / Backspace | Delete the focused row, when a single task is selected |
| ⌘K or Ctrl+K | Search everything you can access, including tasks held in the backlog |
Adaptive focus cap
When the adaptive interface is on, the list may show only a focus cap of open tasks:
| Mode | Tasks shown at once |
|---|---|
| Rest | 1 |
| Ready | Up to 5 |
| Flow | No cap |
| Off | No cap |
Tasks beyond the cap wait in the backlog. Use Skip task on a row to let a different open task surface. Skips reset when the visible set gets too small.
That cap is about what you see. It is not a filter you saved, and it does not delete anything. The longer explanation is in How Onward works.
