Workspaces
A workspace is where your tasks, projects, and settings live. A task belongs to one workspace. All Tasks still lists every task you can see, including tasks from other workspaces you belong to.
- Personal workspace — tied to your account, good for solo use
- Shared workspaces — multiple members, shared tasks and assignees
Switch workspaces from the workspace menu in the sidebar, or from More on mobile. Manage workspaces in that menu opens Settings → Workspaces.
Workspaces, teams, and Team Health
Three related concepts that are easy to confuse:
| What it is | Where | |
|---|---|---|
| Workspace | The container for tasks, projects, and members | Settings → Workspaces |
| Teams | Groupings of people inside a workspace | Settings → Teams |
| Team Health | Aggregated wellbeing and workload signals | Sidebar → Team Health |
If you're tracking separate client businesses, separate workspaces make sense. For departments inside one company, one workspace with teams is usually better — Team Health only works across a shared workspace.
Inviting people
Workspace owners and admins invite by email at Settings → Workspaces. That's a different page from Settings → Teams, which handles groupings within a workspace.
The invite form offers three roles:
- Admin — billing & management. Owners can invite an admin. Admins manage billing and settings.
- Member — collaborate (uses a seat). Members edit and collaborate.
- Guest — read-only, project-scoped (free). A guest can view the projects you add them to. They cannot edit tasks or invite people. A guest does not use a seat.
The hint under the role menu says the same thing: members use a seat; guests are read-only on the projects you add them to, and they are free. Use Add to Projects on the invite when the guest should see specific projects.
The prompt You're a guest on … explains the limit, and View plans & subscription is for starting your own workspace. Changing a guest to Member adds a seat.
On a pending invite: Resend or Revoke. On a member: remove them from the workspace. Leave workspace is how you exit one you don't own. Rename and Delete workspace are for people allowed to manage that workspace. Deleting a workspace is not the same as deleting your account.
A few things change once a workspace has more than one active member: Team Health appears in the sidebar, the Teams section appears, and shared saved views become useful.
Pricing, trial, and seats
$12 per seat per month. One plan, full app access — there are no feature-gated tiers, so every seat gets everything.
- 14-day free trial, with a payment method required at signup.
- Billing runs through Stripe.
- Cancel anytime. Refunds are available within 30 days of your first charge — see the FAQ.
Billing is per seat. Admin and Member use a seat. Guest does not. Review the seat count on the subscription page before inviting a large group of members.
Settings → Subscription is where plan and payment method are managed. The tab only appears for people who can manage the subscription — if someone else owns billing, it's hidden for you.
Payment issues
If a payment fails, you may hit a payment required flow until the card is updated. A workspace owner resolves it from subscription settings.
If you're locked out by this and you're not the owner, the fastest path is to tell whoever owns billing rather than contacting support — it's usually an expired card.
Leaving vs deleting
- Leaving a workspace removes you from that workspace. Your account and personal data are untouched.
- Deleting your account is permanent and lives under Settings → Privacy. Export your data first — see Privacy and your data.
If you own a workspace with other members, transfer ownership before you delete your account.
Common questions
How much does Onward cost?
$12 per seat per month, billed per seat, with full app access on every seat.
Do I need a credit card for the trial?
Yes. The 14-day trial requires a payment method at signup. Cancel before it ends to avoid a charge.
Can I get a refund?
Refunds are available within 30 days of your first charge. See the FAQ.
What happens when my trial ends?
You need an active subscription to keep using paid features. Your data isn't deleted when a trial lapses.
Can I have more than one workspace?
Yes. Switch from the workspace menu in the sidebar, or from More on mobile. Each workspace has its own tasks, projects, and settings. All Tasks can show tasks from more than one of them.
Why can't I see the Subscription tab?
It's shown only to people who can manage billing. If a colleague owns the subscription, the tab won't appear for you.
How do I remove a seat?
Remove the Admin or Member from Settings → Workspaces. A Guest does not use a seat, so removing a guest does not lower the count. Changing a guest to Member adds a seat.
